Follow-ups and reminders, written once and sent on time
Confirmations, reminders, missed-appointment notes and follow-up emails go out on their own, in your business name. You write the words once and approve each series before it sends.
The problem
Reminders depend on someone remembering to send them. On a busy week nobody does, a customer forgets, and the slot sits empty.
Follow-ups are worse. A quote goes out, nobody chases it, and the customer books somewhere else.
What runs on its own
- A confirmation right after every booking.
- A reminder a day before each appointment, by email, and by text for customers who ask for texts. Another 2 hours before, by email.
- A missed-appointment note after a booking gets marked as a no-show.
- “We miss you” 60 days after a customer’s last visit, when nothing new is booked.
- A follow-up series: a few emails over 2 to 4 weeks for one offer. It stops the moment the person replies, books, gets marked lost or unsubscribes.
- Quiet hours. Nothing goes out between 9 PM and 8 AM, and each person gets each message at most once.
What you approve
- The words of every message. You edit them in FlowWays OS.
- Each on/off switch.
- Every email in a follow-up series, before the series sends.
A real example
The Automations screen in FlowWays OS, shown with a made-up barbershop:
- Starts with
- A customer books a haircut for Friday.
- Runs on its own
- The confirmation goes at once. A reminder goes Thursday, and another 2 hours before.
- The owner approves
- The wording of both reminders, written once.
- Result
- The customer shows up, and nobody at the shop sent a thing.
Questions owners ask
How does a customer stop the messages?
Yes. One unsubscribe link stops the marketing messages. Reminders and confirmations for a booked visit still go, and the email says so.
Do texts cost extra?
Text messages are billed to you by the texting service, in your business name, apart from our fee.
What does it cost?
Quoted in writing after a free 20-minute call, on its own or as part of FlowWays OS.
