AI for auto shops on Long Island, answering the car questions and booking the bay while you work

Tint, detailing, body and repair shops lose work at the bay door. The phone rings while your hands are on a car, and a DM asking for a price sits unread until closing. We set up an AI chat for your site, an assistant for your Instagram DMs and online booking for shops in Nassau, Suffolk and NYC. All three answer from your own services and prices, and hand the rest to you.

On the call we look at where your week goes and suggest a next step. If you need a full assessment, we quote it in writing before any work starts.

What goes wrong at a busy shop

The hours go to the jobs around the work, between one car and the next.

The price question with no fair answer

A customer wants a number for ceramic coating before telling you the car. The honest price depends on the size, the paint and the prep. A quick reply either scares them off with a high number or locks you into a low one.

Calls in the middle of a job

You are under a dash or halfway through a wrap panel when the phone rings. Stopping breaks the job. Letting it ring sends the caller to the next shop on the list, and most of them never leave a voicemail.

DMs at 10 PM

Car people find shops on Instagram. They message after work, when you are closed, and by the time you answer in the morning they have messaged two other shops.

Bookings in four places

Some come by text, some by DM, some by phone and a few on paper. A full-day coating needs the bay all day, and two people get promised the same Saturday.

Reviews nobody asked for

The car leaves looking its best and the customer is happy. Nobody sends the review link, and the next person searching for a detailer in your town reads a profile with three reviews.

A real example: Custom Auto Care in Massapequa

Custom Auto Care does window tint, ceramic coating, wraps, paint protection film, paint correction and detailing in its own shop in Massapequa. We built its booking site, book.customautocarellc.com (opens in a new tab), and the assistant behind it.

  • The booking page lists every service with its length, from a few hours for tint to a full day for coating, and open times come from the shop’s real hours.
  • Where a price shows, it’s a booking fee, and the page says so on the service: the fee holds the spot, and the full price comes after the shop sees the car.
  • An AI chat on the booking page answers from the shop’s own list of services, fees and hours.
  • On Instagram, the DM assistant asks about the car first, explains the listed prices are booking fees, then offers a time.
  • Bookings land in the owner’s dashboard, and a review request goes out after the visit.

Runs on its own

The customer gets an answer the same night and picks a time, without waiting for the shop to open.

We describe only what runs today. Results in numbers go on this site once the shop signs off on them.

What to automate first at an auto shop

Here is the order we suggest. Each step works on its own, so you start with the one costing you the most.

  1. Answer the price question honestly

Put each service, its booking fee or price range, and what changes the price into the assistant’s facts. It asks about the car before it talks money, and it tells the customer the final price comes after you see the car. This one rule turns a long back-and-forth into one question about the car.

  2. Let customers book the bay

Online booking with the real length of each job, so a three-hour tint and a full-day coating never collide. A booking fee holds the slot, paid to your own account.

  3. Text back every call you miss

With missed call text back, a call ringing out during a job gets one text in your words, with your booking link. The caller books or replies instead of dialing the next shop.

  4. Ask every customer for a review

Review requests go out two hours after you mark the job done, with one reminder if the first message stays unopened. Every customer gets asked, every time.

What stays with a person

An assistant handles the questions you answer every week. These belong to you, and we set the assistant up to hand them over.

  • Final prices on custom work. Wraps, paint correction and bodywork depend on what you see in person. The assistant collects the car, the photos and the question, and you quote.
  • Damage, accidents and insurance. Body and repair work brings claims, adjusters and estimates with your name on them. The assistant takes the details and passes them on.
  • An upset customer. A complaint goes straight to you with the whole conversation attached.
  • Tint law beyond your own wording. The assistant repeats the line you approved about New York’s tint limits and sends anything more detailed to you.

Common mistakes when shops add AI

Letting a chatbot quote the final price

A generic chatbot for auto shops fills gaps with guesses, and a guessed price turns into a promise to your customer. Ours answers only from the prices and fees you gave it, and says when a price needs an inspection.

Listing prices without saying what they are

A number on a booking page reads as the full price. Custom Auto Care labels every fee as a booking fee, on every service, so nobody arrives expecting a coating for the deposit.

Booking every job into the same slot

A one-hour slot for a full-day coating fills your bay twice. Each service needs its true length in the calendar.

Hiding the robot

Customers ask whether they are talking to a person. The assistant says it’s automated, and the conversation goes to you whenever they want a human.

Switching it on without a test

We test the assistant on the questions your customers send today, before any customer sees it. Wrong answers get fixed in the facts, before launch.

How FlowWays sets it up for your shop

  1. The free 20-minute call

A call where you walk us through a normal week at the shop: the calls, the DMs, the bookings, the reviews. We name the two or three fixes worth doing first.

  2. Your facts, written with you

Services, booking fees or price ranges, hours, what changes a price, how long each job takes, and the exact wording for tint law. The assistant answers from this and nothing else.

  3. Connected to what you use

The chat goes on your site with one line of code. Instagram messages connect through FlowWays OS, next to your bookings and leads.

  4. Tested, then handed over

A fixed written quote before we build. After the test, you get a plain-English handover document, and we stay around when your services or prices change.

Try it yourself

DM @flowways.dev on Instagram (opens in a new tab) on Instagram, or open the chat on this page, and watch the AI answer. Both answer from FlowWays’ own notes, the same way a client’s assistant answers from the client’s.

Ask it what your own customers ask you: what you offer, whether you speak Spanish, how booking works, what something costs. Watch where it answers and where it stops. When the notes hold no answer, it says so and offers you a way to reach Santiago.

Example conversation

Customer
How much for ceramic coating?
Assistant
Happy to help. What car is it, and roughly how old is the paint?
Customer
2021 Civic, daily driver.
Assistant
Thanks. The price on the booking page is a booking fee to hold your spot. The shop gives the full price after seeing the car, since prep depends on the paint. Want to see open times this week?

Written for this page to show the order an auto shop assistant follows: the car first, then what the price means, then a time. It is a made-up example. No real customer wrote it.

Auto shops in Nassau, Suffolk and NYC

We’re based in Hicksville and work in person with shops across Nassau County, Suffolk County and New York City, and remotely anywhere else. Our live auto example sits in Massapequa.

If you have been comparing auto shop booking software on Long Island, the difference is ownership. The booking page carries your shop’s name, your services and your hours, the customer list stays yours, and the AI receptionist for your shop answers from your facts.

Questions owners ask

Does an AI receptionist work for an auto shop?

Yes, for booking and the common questions. The phone assistant answers the call, says it’s automated, books into the same calendar as your site and puts urgent calls through to you. Some shops start with a text back for missed calls and add the phone assistant later.

Will the chatbot give customers a price?

Only the prices or booking fees you gave it, worded the way you approved. For work priced after an inspection, it says so and offers a time to bring the car in.

Is this auto shop booking software with a monthly fee?

You get a booking page under your shop’s name with your services, hours and bay times. It runs as an add-on to your site or inside FlowWays OS, our monthly plan. Either way, the price is a fixed written quote after the free call.

Does it answer my Instagram DMs?

Yes. The assistant answers DMs from the same facts as the chat on your site and flags anything needing you. Your posts and the account itself stay with you.

Does it work in Spanish?

Yes. The assistant replies in the customer’s language, English or Spanish, from the same facts. Spanish is Santiago’s first language, and we check the Spanish answers before launch.

What does it say about New York tint law?

Only the wording you approved, such as installing to the legal limit for each vehicle. Detailed legal questions go to you.

I run a body or repair shop. Does it handle insurance claims?

No. It collects the name, the car, photos and the question, and passes them to you. Estimates and claims stay with you and your team.

How do I try it before paying?

Send @flowways.dev a DM on Instagram or use the chat on this page. Then book the free 20-minute call, and we tell you what fits your shop.
